Charging your card reader

Before using your card reader for the first time, we recommend you charge it’s battery for at least 3 hours. You can do this by connecting the USB cable from the port on the side of the card reader to a USB power source or computer.

The card reader battery should last 5-6 hours of use.

Sleep mode

Your card reader will go into Sleep mode to conserve battery after a period of inactivity, or if the On/Off button is briefly pressed.

To wake up the card reader, simply press any key.

Turning off your card reader

For Tap and Go card readers

Turn off your card reader by pushing down on the blue power button on the top right side of the card reader. To turn back on, press the blue power button once.

For Chip and PIN card readers

Hold down the On/Off button for 15- 20 seconds.

To check if the card reader is turned off rather than in ‘sleep’ mode, simply press any of the keys. If no lights flash, the card reader is off.

Checking your battery

When the card reader is connected, you can check its battery by going into the PayPal Here app and tapping the menu icon, then Card Readers.

If the battery is 20% or less, you will receive an alert in the app that your power is low and that you should charge the reader as soon as possible.

For Tap and Go card readers

You can see the battery level on your Tap and Go card reader on the card reader’s screen or in the app, tap Card Readers to see the available battery charge.

For Chip and PIN card readers

To test the battery status when the card reader is not connected to your mobile device, hold down the cancel button (the yellow arrow) on the card reader for a few seconds. The PIN lights will indicate the battery status, for example if 3 of the six lights are lit, the battery is 50% charged.

Solid red triangle means the battery is extremely low and should be charged before any further use.

If the card reader’s PIN light glows a permanent red, the card reader has a low battery and should be charged as soon as possible.

Connecting your card reader to your mobile device

Tap and Go card readers

  1. On your mobile phone or tablet: Turn on Bluetooth in your mobile or tablet’s settings.
  2. Select the PayPal card reader.

Chip and PIN card readers

  1. Turn on the card reader. A green light will blink followed by the Bluetooth light. This process may take a few seconds.
  2. Go to Settings on your mobile device and turn on Bluetooth
  3. Select the card reader from the list of available Bluetooth devices

Can’t see the card reader?

Tap and Go card readers

Hold down the reader’ Bluetooth button until the on-screen Bluetooth icon starts to blink. For Android devices you may also need to select Search for Devices.

Chip and PIN card readers

  • Hold down the SYNC button until the Bluetooth light blinks quickly
  • Make sure the reader is charged

Accepting payments.

When you give your customers choice of how to pay, they’ll be more likely to shop with you again and again. PayPal Here lets you accept payments by American Express, Visa and Mastercard credit and debit card. You can also issue invoices on the spot and send receipts.

How to process a payment with the card reader

How to process a payment with the card reader

  1. Make sure the card reader is connected via Bluetooth and open the PayPal Here app.
  2. In the app, enter the amount due or selected items from your list.
  3. Ask your customer to tap their card on your Tap and Go card reader or for Chip and PIN card readers, ask your customer to firmly insert their debit or credit card into the bottom of the card reader.
  4. For Chip and PIN card readers, ask your customer to confirm the amount on your mobile device and then enter their PIN on card reader, followed by the green arrow button.
  5. Once the payment has been approved, you’ll see this on your mobile device screen. You can then email or SMS your customer a receipt.

Cards without Chip and PIN

If your customer has a card without a chip, they can make a payment by swiping the magnetic strip on the card reader and entering their PIN.

How to process a card payment directly into the app

If you don’t have your card reader with you, you can still process transactions by manually entering the card details into the PayPal Here app. Additional fees apply.

  1. In the app, enter the amount due or select an item from your list and tap Charge.
  2. Enter the card number, expiry details and CVV.
  3. Tap Charge.
  4. Once the payment has been approved, the app will tell you the transaction has been completed. You can then SMS or email your customer a receipt

Issuing an invoice

With PayPal Here, you can issue an invoice wherever you are in seconds. Your customers can pay by credit card, debit card or PayPal.

  1. In the app, enter the amount due or select an item from your list and tap Charge.
  2. Tap Invoice
  3. Enter your customer’s name and email address.
  4. Chose when you want payment due.
  5. Tap Send

Recording cash payments

Record cash payments right in the app to keep all of your transactions organised. There are no fees for recording cash payments.

Here’s how to record a cash payment:

  1. Enter the amount due or select the item and tap Charge.
  2. Tap Cash.
  3. Enter the amount of cash received and the app will tell you how much change you need to give.
  4. Tap Continue.
  5. You can then email or SMS your customer a receipt.

Issuing receipts

PayPal Here lets you email or SMS receipts to your customers for all sales, refunds and cancelled sales. If your customer has lost their receipt, you can easily reissue one at any time.

How to issue a refund:

  1. Enter the amount due or select the item, and tap Charge.
  2. Tap Invoice.
  3. Enter your customer’s details including email, first name and last name.
  4. Choose when you want the Payment Due.
  5. Tap Send.

You can issue full or partial refunds for any card payment right from the app.

How to issue a refund:

  1. Tap the Menu icon in the top left hand corner (three lines).
  2. Tap on Sales Activity.
  3. Tap on the payment you wish to refund.
  4. Scroll to the bottom of the payment details and tap Refund.

Checking the status of a payment

If you are unsure if a payment has gone through, you can easily check its status within the app.

How to check the status of a payment:

  • Tap the Menu icon in the top left hand corner (3 lines)
  • Tap Sales Activity
  • Find the transaction you want to review
  • If there is a green tick next to the transaction, it has been processed

Itemised sales or total

You can either enter the full price of a purchase or set up an inventory and tap the items included in the order. You can also easily switch between the 2 options.

Totals:

  • Enter the amount of the item the customer is purchasing
  • Tap Add to add additional items
  • When you have entered all items, the total will show at the top of the screen
  • Choose your payment option and process the payment

Customising your account

Adding inventory

You can add commonly purchased items to your inventory so you can add them in one tap.

  • Tap the Menu icon in the top left hand corner (3 lines)
  • Tap Manage Items
  • Tap the + symbol to add a new item
  • Enter the name of the item and a price
  • Add a photo (optional)
  • Tap Done

To switch your display from the keypad to inventory, simply swipe from right to left across the keypad screen. To add inventory to an order, tap on the item.

Accepting a payment with Itemised orders

  • Either swipe across the key pad from right to left, or tap on the items icon at the bottom right of the key pad to get to the itemized orders screen.
  • Tap on the items you want included in the order.
  • The blue circle will show the number of items you have added.
  • Once you have added all the items, tap Charge

Accepting tips

If you would like to give your customers the option of tipping, you can turn this on in the app.

How to set up tips.

  • Tap the Menu icon in the top left hand corner (3 lines)
  • Tap on Settings
  • Tap on Tips
  • Slide the Tips button across to the right to turn Tips on
  • You can choose to recommend tips in either dollar amounts or % amounts by tapping on the $ sign or %
  • You can alter the recommended tip amounts by tapping on each and editing it

Setting up taxes

You can configure PayPal Here to include GST or tax on all sales.

How to set up tax information:

  • Tap the Menu icon in the top left hand corner (3 lines)
  • Tap Settings
  • Tap Tax
  • Swipe right across the tax button to turn it to the on/ blue position
  • Tap Add a New Tax Rate
  • Add a name and percentage for the tax rate
  • Tap Set as Default Tax
  • Tap Done

Manage your business

Setting up multiple users

PayPal Here can be used for sole traders through to large businesses with fleets of staff. If you’d like your staff to accept PayPal Here payments for you, you’ll need a PayPal business account.

Secondary users are people who can send or transfer money from your PayPal account. They may need to provide documentation to confirm their identity.

Here’s how to set up secondary users:

  1. Log in to your PayPal account, ideally from a computer.
  2. Click Profile then My settings.
  3. Beside ‘Manage users’ click Get started.
  4. Click Add User and enter their details.
  5. Choose the appropriate permission levels so they can take payments and click Save

You can also buy multiple card readers to be used with the one PayPal account. You can order more card readers online or in the app.

Reviewing your sales history

Once you’ve processed a payment with PayPal Here you can see it in the app as well as online in your PayPal account.

To view your sales in the PayPal Here app:

  1. Tap the Menu icon in the top left hand corner (3 lines).
  2. Tap Sales History.
  3. Tap any transaction you want to view the full details of.

Transferring funds

All funds you receive through PayPal Here are added to your PayPal account, along with any funds you may receive through other PayPal products (such as online payments).

You can use the PayPal Here app to transfer funds from your PayPal account to any bank accounts you have linked to it.

Transfer funds through the PayPal Here app :

  • Tap the Menu icon in the top left hand corner (3 lines).
  • Tap Sales Activity.
  • Tap Transfer Funds
  • In the From fields tap select the balance from which you want to transfer funds.
  • In the To field enter the amount you want to transfer.
  • Tap Transfer.

To link a bank account to your PayPal account, log into your account at www.paypal.com.au. Under Profile click on Add or Edit Bank Account and follow the steps.

Lost or stolen card reader

Your card reader does not store any information about your PayPal account or transactions so, if it’s lost or stolen, your information will still be kept safe.

If your card reader is lost or stolen, call us on 1800 323 891. We’ll deactivate the card reader so it can no longer be used.

Current fees

There are no monthly fees or hidden costs with PayPal Here. Getting the card reader is a one-off charge. Then you pay just 1.95% of the transaction amount for card payments.

Full fees for PayPal Here

  • Contactless and Chip and PIN card payments 1.95%
  • PayPal invoices 2.6% + 0.30c per paid transaction
  • Manually entered card payments 2.9% + 0.30c per transaction

If you’re using the card reader to process a payment and the card does not have a chip, you can swipe the card and allow the customer to sign on screen to confirm the payment. This is also charged at 1.95% per transaction.

Association/enterprise fees

A number of associations and enterprise customers have negotiated specific rate agreements with PayPal. Please refer to your Partner Agreement for fee information.

Troubleshooting

I’ve downloaded the PayPal app. Why can’t I accept payment?

PayPal offers 2 apps:

The PayPal app is designed for buyers.

The PayPal Here app is the app you need to process payments with the card reader.

If you have not applied and been approved for PayPal Here, you won’t be able to use the PayPal Here app. Apply now

Why isn’t my card reader working?

If you’re having trouble pairing your card reader with your mobile device, here are a few things you can try:

  • Wake up your card reader. Your card reader could be idle. Wake it up by pressing any number on the keypad or the power button.
  • Charge the card reader. If the card reader won’t turn on, connect the USB cable to the card reader and a power source and recharge the battery. A full recharge takes approximately 3 hours.
  • Restart the card reader. Turn the card reader off by pressing the power button. The Tap and Go power button can be found on the top right side of the card reader. The Chip and PIN power button can be found on the side of the card reader.
  • Restart the PayPal Here app. Close and restart the app, and then try to reconnect to the card reader.
  • Remove the card reader. Remove the card reader from your mobile’s list of Bluetooth-paired devices and pair it with the device again.

If that doesn’t work, try the following:

  • Restart the card reader.
  • Turn off the card reader by pressing its power button, and then turn it on again.
  • Restart the PayPal Here app.
  • Remove the card reader from you mobile’s list of Bluetooth paired devices and pair it with the device again.

My profile contains items my business no longer offers. How do I remove them?

Here’s how to remove items from your inventory:

  • Tap the Menu icon in the top left hand corner (3 lines).
  • Tap Manage Items.
  • Swipe right to left on the item you wish to delete.
  • Tap Delete.

My card reader is broken. What should I do?

If your card reader is broken, contact us on 1800 323 891.

We’ll arrange for a replacement card reader and a returns kit to be sent to you, including a postage-paid satchel for you to return your broken card reader.

I ordered a card reader but it hasn’t arrived. What should I do?

We aim to deliver all card readers within 2 business days to metropolitan areas of Australia. However, it may take up to 7 days for your card reader to arrive. If it has been more than 7 days and your card reader has still not arrived, please call us on 1800 323 891.

Your card reader will be delivered to the address you specify when purchasing it. To keep your card reader safe, it will need to be signed for. If no one is available to sign for the device, you will receive a card and need to follow the instructions to receive your reader.

Do I need an internet connection to use PayPal Here?

What happens if there’s no mobile coverage?

If you don’t have mobile coverage, you won’t be able to process a transaction.

Can I accept card payments without the card reader?

The card reader is a quick way to process a payment through PayPal Here.

You can also process card payments through the app by keying the card number, expiry date and CVV into the app directly. The fees for manually entered transactions are 2.9% + 0.30c per transaction.

Are the card details stored on the phone or card reader?

No, the card details are not stored on the phone or card reader.

Will I have access to my customers’ information?

PayPal Here securely encrypts your customers’ information so their financial details are protected.

Once you have processed a payment, you can go into your transaction history and view the payment or resend a receipt, but you will only see the last 4 digits of the card number.

You can add customer details to the transaction yourself (e.g. name, contact number). After you have processed the transaction:

  • After the receipt screen, tap Add Customer Info
  • Enter the customer’s contact information such as name, email, phone, company name and address
  • Tap Done

Your customer contact information will now be available from the sales record in your sales history. You can also go into any transaction in the sales history and add the customer information.

How can I withdraw funds from PayPal Here?

All funds you receive through PayPal Here are added to your PayPal account, along with any funds you may receive through other PayPal products (such as online payments).

You can use the PayPal Here app to transfer funds from your PayPal account to any bank accounts you have linked to it.

In some situations, your account may limit how much you can withdraw. If this happens, we will notify you.

What is the difference between the iPhone app, iPad app and Android app?

The Android app and the iPhone app have the same functionality to allow you to process payments on the go.

The iPad PayPal Here app offers barcode scanning (iPad 2 and later) for faster checkout and inventory listing capabilities including categories to help organize the items you are selling.

How is PayPal Here different from other mobile card reader payment options?

PayPal Here allows you to take contactless and or Chip and PIN payments rather than swiping a credit or debit card and having the customer sign for the transaction. Chip and PIN card payments are a safer way to process payments and help protect Australians from fraud.

PayPal Here is also a cost effective way to take payments. Once you’ve paid for the card reader, we only charge per transaction. PayPal Here has no monthly fees or long-term commitments.

PayPal Here also allows you to send invoices and track cash payments.

Will my customers need a PayPal account to pay me?

No, your customers don’t need a PayPal account to pay you. They simply insert their credit or debit into the card reader and enter their PIN to process a payment.

All funds received go into your PayPal account.

How much data does a transaction use?

Each transaction typically uses less than 10kb of data.

If the customer provides a signature, then approximately 50kb of data will be used for the transaction to be processed.

If you add a picture to the transaction, no more than 3MB will be used.

When are my funds available?

For contactless and chip and PIN payments, your funds are generally available in your account straight away.

If you key-in card details to process a transaction and have not yet built a strong transaction history with us, the funds may be subject to a hold. This hold will only apply to manually entered payments and allows you to withdraw up to $1,000 a week. Anything over $1,000 a week will be held for 21 days.

If you experience the 21 day hold mentioned above, you can contact us on 1800 323 891 and provide additional business information to have the hold removed.

Is there an activation or deactivation fee?

No, there are no activation or deactivation fees for PayPal Here. The only fees are a one-off charge for the card reader and a transaction-based fee for each payment you receive.

Can I use my card reader overseas?

No, the card reader can’t be used while travelling internationally. You can only use PayPal Here within Australia.

Can I share my card reader with another business owner?

Your PayPal Here card reader can be used by any business that has applied and been approved for PayPal Here.

The other business owner will need to log in to their own PayPal account in the PayPal Here app, and then pair their device with the Bluetooth card reader.

Can I use other card readers with PayPal Here?

No, the PayPal Here app will only work with the PayPal Here card reader.

Can I accept international cards with PayPal Here?

Yes, you can accept any American Express, Mastercard or Visa credit and debit card.

If a card does not have a chip, you can swipe it through the card reader to process the transaction.

What happens if the card doesn’t have a PIN?

If a customer’s card does not have a chip, you can swipe it through the card reader to process the transaction.

How will I know if the customer’s PIN is correct?

There are 2 ways to check if the PIN your customer has entered is correct.

  • The PayPal Here app will show a message that the PIN in incorrect.
  • The triangular PIN status light on the card reader will turn green if the PIN is correct or red if the PIN is incorrect.

Which cardholder verification methods can I accept?

PayPal Here support Chip and PIN, chip and signature and swipe and signature. You can also key in the card details to process a payment.

Account holds

In certain circumstances, a 21 day hold will apply to funds processed with PayPal Here. These only apply to keyed-in transactions.

If you key-in card details to process a transaction and have not yet built a strong transaction history with us, the funds may be subject to a hold. You’ll be able to withdraw up to $1,000 a week. Anything over $1,000 a week will be held for 21 days.

What do I do if my customer’s card is declined?

If your customer’s card is declined:

  1. Make sure it is an accepted card type (American Express, Visa or Mastercard).
  2. Ask your customer to try another card.
  3. Advise your customer to contact their card provider.

How long is the card reader’s warranty period?

Card readers have a warranty period of 1 year.

How will I know when the card reader’s battery is low?

When the card is connected to your mobile device, you can check the battery status from the details screen in the app. If the battery falls below a 20% charge, you’ll see a notification in the app indicating that your power is low and that you should charge the reader as soon as possible.

When the card reader is not connected to your mobile device, hold down the cancel button (the yellow arrow) for a few seconds. The PIN light will indicate the battery status. Solid red means that the battery is low.

How long will it take for my card reader to arrive?

Your card reader will be express shipped to you and should arrive approximately 2 business days after you order it online.

You will need to sign for the card reader, so please make sure you enter a shipping address where someone will be available to sign for the delivery.

How do I dispose of my card reader if I don’t want it anymore?

If you do not want your card reader any more you can return it to PayPal for disposal.

If I change my mind, can I get a refund on my card reader?

We hope that you will find that the PayPal Here card reader becomes an important part of your business. However, we know that sometimes things don't turn out as you expected. That’s why you can return a PayPal Here card reader purchased through this website within 14 days of delivery for a refund.

When returning your card reader, make sure the device is undamaged and complete, including the original packaging. To initiate a return, simply call us on 1800 323 891.

What do the lights on the card reader mean?

Tap and Go card readers

Bluetooth light:

  • Fast blinking: Pairing mode
  • Slow Blinking: Pairing mode and ready to connect
  • Solid light: Connected to mobile device

The card reader screen will also display what mode you are in.

PIN entry:

  • First LED blinking: Card inserted, waiting for PIN
  • All LEDs lit: Tap card successful
  • LEDs temporarily lit: Start-up mode

Chip and PIN card readers

Bluetooth lights:

  • Blinking quickly: Pairing mode
  • Blinking slowly:The card reader is not in pairing mode or has previously been paired and is ready to connect.
  • Solid: Connected to mobile device

PIN entry:

  • First LED blinking: Card inserted and the card reader is awaiting PIN entry.
  • Multiple LEDs constantly lit: Card reader is in PIN-entry mode during a transaction, or the card reader is displaying the battery status if the cancel button (yellow arrow) was pressed for a few seconds.
  • Multiple LED lights are temporarily lit: The card reader is starting up after you’ve turned it on.

PIN status light:

  • Solid green: The customer has entered the correct PIN.
  • Blinking green: The card reader is starting up.
  • Solid red: – Either the customer has entered an incorrect PIN, or the card reader has a very low battery.

What devices are compatible with PayPal Here?

PayPal Here is currently available for iOS (iPhone 3GS and later) and optimized for iPad devices running iOS version 5.0 and later.

  • It is also available for Android smartphone platforms. In order to run PayPal Here, an Android device must include the following specifications:
  • Android version 2.3.3 (Gingerbread) or later
  • 3.5 mm headset jack with microphone
  • Support for Location Services
  • Internet access (via WiFi or cellular data network)

At this time, PayPal Here is not supported on Android tablets
